This policy explains how Pace Chauffeurs collects, uses and protects your personal information when you request a journey, contact us or use this website. We are the data controller for the information described below.

1. Who we are

Pace Chauffeurs provides executive airport transfers and chauffeur travel across Hertfordshire, Bedfordshire and Cambridgeshire.

2. Information we collect

We only collect what we need to quote for and carry out your journey:

  • Contact details — your name, email address and telephone number.
  • Journey details — pickup address, destination, dates and times, return journey details, flight number, number of passengers and luggage.
  • Additional requirements — anything you tell us in the additional requirements field, such as stops or accessibility needs. Please share health or mobility information only where it is necessary for us to arrange your travel safely.
  • Correspondence — emails, WhatsApp messages, text messages and call records relating to your booking.
  • Payment information — the record of a payment made. Card details are handled by our payment provider and are not stored by us.

3. How we use your information

  • To prepare a quote and respond to your enquiry.
  • To arrange, confirm and carry out your journey, including allocating a chauffeur and vehicle.
  • To monitor flight arrival times where you have supplied a flight number.
  • To take payment and keep accounting records.
  • To handle complaints, insurance matters and lost property.
  • To meet the record-keeping conditions of our private hire operator licence.

We rely on the following lawful bases: performance of a contract (arranging your journey), legitimate interests (running and improving the service, keeping records, handling disputes), legal obligation (licensing, tax and insurance requirements) and consent, where you have asked us to contact you about anything other than your booking. You can withdraw consent at any time.

4. Marketing

We do not sell your details or add you to a mailing list from a journey request. If we ever contact you about offers or service updates, it will only be where you have agreed or where the law otherwise permits, and every message will include a way to opt out.

5. Who we share it with

We share information only where it is needed:

  • The chauffeur assigned to your journey, and any approved partner operator we use at busy times.
  • Service providers who support the business — email and IT hosting, booking and payment providers, and our accountant.
  • Our insurers, or professional advisers, where a claim or dispute arises.
  • Licensing authorities, the police or other authorities where we are legally required to do so.

Our suppliers act on our instructions under written terms. Where a provider stores data outside the UK, we make sure appropriate safeguards, such as the UK International Data Transfer Agreement, are in place.

6. How long we keep it

Booking and journey records are kept for as long as needed to provide the service and then for up to six years, to meet tax, insurance and licensing obligations. Enquiries that do not lead to a booking are deleted within 12 months. After that, information is securely deleted or anonymised.

7. Security

Access to booking information is limited to the people who need it to carry out your journey. Accounts are protected by passwords and, where available, two-factor authentication, and devices used to hold booking information are encrypted. No transmission over the internet can be guaranteed completely secure, but we take reasonable steps to protect your information and to notify you and the ICO where a breach requires it.

8. Cookies and this website

This site is a single page and does not set advertising or tracking cookies. Web fonts are loaded from Google Fonts, which means your browser requests those files from Google and your IP address is visible to them as part of that request. If we later add analytics or a booking widget that uses cookies, we will update this policy and ask for your consent where required.

9. Children

Our service is booked by adults. We only hold information about children where a parent or guardian gives it to us as part of a booking, such as the number of passengers or a child seat request.

10. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed, and the current version is always published on this page.
